This notice explains what Ordelis receives through this website and its connected forms, why we use it, and the choices available to clients, applicants, and other visitors.

PRIVACY NOTICE

Information should serve a clear business purpose.

This notice applies to information submitted through ordelisgroup.com, the property-brief and inquiry experience, the Ordelis employment application, confidential self-identification, and the Clockwise staff and client portal. It does not replace the separate notices or authorizations that may be provided later for background checks, drug testing, motor-vehicle-record reviews, or other employment screening.

INFORMATION WE RECEIVE

What you choose to share

Different forms ask for different information. Please provide only what is relevant to the request you are making.

Property inquiries + quote requests

This may include your name, work email, phone number, organization, property address and type, requested services, approximate property details, preferred timing, operating priorities, and any notes you submit.

Employment applications

This may include your name, current address, email, phone number, date of birth, work-authorization responses, positions of interest, availability, service area, employment history, education, training, licenses, certifications, professional references, role-related answers, limited conviction-history disclosures, and an optional résumé or cover letter.

Confidential self-identification

After submitting an application, you may separately select responses concerning gender, race, ethnicity, veteran status, and disability status. Every question includes a decline-to-answer choice. These responses are maintained separately from hiring decisions and are used only for equal-opportunity monitoring, outreach, and affirmative-action purposes.

Clockwise staff + client accounts

This may include account and role details, client organizations and properties, work assignments and schedules, recorded time events, approximate device location and accuracy when a worker chooses a clock action, service visits and evidence, requests and approvals, contacts, announcements, handbook acknowledgments, authorized documents, and security or audit records.

Technical information

Our website host and form providers may automatically receive limited technical information such as IP address, browser or device type, timestamps, referring pages, and security or service logs.

Do not submit sensitive information through public forms.

Provide only the information a form specifically requests. Do not send Social Security numbers, banking information, medical or prescription details, identification documents, alarm or gate codes, access credentials, resident information, or other sensitive security data through these forms.

HOW WE USE INFORMATION

Purpose before collection

Ordelis may use submitted information to respond to inquiries, assess a property need, prepare for a site walk, develop or follow up on a proposal, route a message to the appropriate team, maintain business records, protect the website and forms, and improve the clarity or operation of these experiences.

Applicant information may be used to review qualifications, communicate about current or future opportunities, verify application details and references, coordinate interviews or skills assessments, support hiring administration, and meet legitimate recordkeeping needs. An application does not guarantee an interview, opening, or offer.

Clockwise information is used to provide role-based portal access, assign and document property work, validate time events against authorized work locations, review corrections and approvals, share client-safe reports and files, maintain employment and policy records, support account security, and preserve an accountable history of operational actions. Location is requested only during a user-initiated clock event; Clockwise does not represent itself as continuous background tracking.

Confidential self-identification responses are not used to decide who advances, interviews, or receives an offer. Selecting “I decline to answer” is a complete response and does not affect employment consideration.

Ordelis does not sell information submitted through its website inquiry, property-brief, or employment application forms.

SERVICE PROVIDERS + DISCLOSURE

Systems that help deliver the experience

Ordelis uses service providers to operate the website and route form submissions. The property-brief form is processed by FormSubmit and delivered to the Ordelis proposals team. Employment applications are processed and stored in Ordelis's Jotform workspace. Confidential self-identification responses are collected in a separate form and are not included in the ordinary hiring record or applicant-confirmation email. Clockwise account authentication, operational records, and private file storage use Supabase; branded access email is delivered through Resend. Website hosting, email, security, information-technology, and professional-service providers may also process limited information when necessary to perform their work.

Information may also be disclosed when reasonably necessary to protect rights or safety, investigate misuse, respond to a valid legal request, complete a business transaction, or meet an applicable obligation. Provider processing is also governed by each provider's own terms and privacy practices.

RETENTION + SECURITY

Kept only while it has a purpose

Ordelis keeps information for as long as reasonably needed to respond to the request, manage the business or applicant relationship, consider an applicant for relevant current or future roles, maintain appropriate records, resolve disputes, protect the company and its clients, or satisfy applicable obligations. Retention periods can vary by the type of record and why it is held.

Clockwise retains operational records according to their business, payroll, client-contract, safety, security, and legal purpose. Suspending or revoking portal access does not automatically erase records that must remain part of a timesheet, service report, acknowledgment, decision, document history, or audit trail. Access to those records remains limited by current role and property scope.

Ordelis uses reasonable administrative and technical measures intended to protect information against unauthorized access, alteration, loss, or misuse. No website, email, storage platform, or transmission method can be guaranteed completely secure, so please use the forms only for the information they request.

APPLICANT INFORMATION

Your application choices

Applicants may ask Ordelis to review, correct, update, or delete information they submitted, or to withdraw from consideration for future opportunities. Ordelis may need to verify the requester's identity and may retain information when reasonably necessary for legitimate records, security, dispute resolution, or applicable obligations.

Before listing a professional reference, make sure you have permission to share that person's contact information. Any later background, drug, driving, or similar screening is handled separately with the disclosures, authorizations, and secure provider instructions appropriate to that stage and role. Social Security numbers and other provider-required identity data are collected later through that separate screening process, not through the employment application.
